Attention: Authors of Accepted Papers

  • All accepted papers authors must complete the registration process by:
    • Paying for a full conference registration. Student Research Forum or Live Demo Only registrations do not support paper publication.
    • Registration Fee payment and final paper submission must conclude on or before 15 November 2022 @ 23:59 AoE*
      *Anywhere on Earth, the last timezone on earth. https://en.wikipedia.org/wiki/Anywhere_on_Earth
    • This is applicable to all those authors also who are intimated to submit paper to IEEE Sensors Letters
  • Authors who are intimated to submit paper to IEEE Sensors Letters
    • Must send their consent to the EiC of IEEE Sensors Letters by 7 November 2022 midnight
    • Must upload their final paper (3 page) to ePapers portal by 15 November 2022 as instructed in the acceptance letter sent to them on 31 Oct 2022 regardless of if they are considering submission to IEEE Sensors Letters
    • Must pay the registration fee by 15 November 2022
    • Registration Fee payment and final paper submission must conclude on or before 15 November 2022 @ 23:59 AoE*
    • Submit their revised paper to IEEE Sensors Letters (those who have consented) by December 1, 2022 @ 23:59 AoE*

Presentation Information

LECTURE PRESENTATIONS

The duration of a presentation slot is 15 minutes. You will have 12 minutes for the presentation itself and 3 minutes for questions from the audience.

A LCD projector & computer (Windows 7, MS Powerpoint & Adobe Acrobat Reader) will be available in every session room for regular presentations.

Preparation of Visuals:

  • PLEASE NOTE THAT YOU MUST BRING BRING A MEMORY STICK CONTAINING YOUR PRESENTATION FILE.
  • Files can be uploaded to the local PCs in the lecture rooms before the day begins, the coffee breaks or at lunch.
  • To avoid software compatibility problems (MS Powerpoint), speakers are advised to EMBED ALL FONTS in your Powerpoint file AND bring a backup PDF-version of your presentation.
  • Speakers should arrive in their session room 15 minutes BEFORE the start of your session to report to the session chair. A proctor will also be available in case you need technical assistance.
  • Speakers are strongly encouraged to visit the Speaker Preparation room in advance of your presentation to avoid any last minute problems. The Speakers’ Preparation room will be available on all days that sessions are scheduled.

POSTER PRESENTATIONS

The recommended poster format is portrait A0 (84.1 cm wide x 118.9 cm height). Double sided adhesive tape and/or pins will be available in the poster area to put the posters on the panels.

Authors are required to print their own poster and are responsible for hanging up their poster before the start of the session and of removing them after the session end.

Each poster board onsite will be marked with a number that directly correlates with each poster in the PDF program. Please place your poster on the assigned board.

  • All the submitted papers will be evaluated for presentation, in the form of digital poster or oral presentation.
  • Each full registration fee can cover up to 2 papers

  • Email submissions will NOT be accepted.
  • If you are making multiple submissions, you only need to create one web account. Use the same account (User name & Password) for any additional submissions.
  • If you need to edit any author information or resubmit your paper, it may be done up until the submission deadline.

  • Paper Size: US Letter (8.5″ x 11″) or A4 (210mm X 297mm)
  • Fonts: Embed ALL fonts in your PDF file. Avoid the use of Type 3 fonts.
  • File Format: Adobe PDF (.pdf)
  • Allowed File Size: 5.0MB
  • Do NOT page number your paper
  • Do NOT apply security settings to your PDF file.

Additional Requirements:

If your paper is accepted for publication at this conference, you will also need to adhere to the following requirements:

  • IEEE policy requires you to file a copyright release for each accepted submission. Without a copyright release on file, your paper CANNOT be published. Further instructions will be included in your decision email.
  • REMINDER: At least one author per accepted submission must be registered AND attend the conference to present their paper.
  • IEEE reserves the right to exclude any accepted paper from distribution after the conference (including, removal from IEEE Xplore) if the accepted paper is not presented at the conference.

Plagiarism Information:

IEEE defines plagiarism as the reuse of someone else’s prior processes, results, or words without explicitly acknowledging the original author and source. It is important for all IEEE authors to recognize that plagiarism in any form, at any level, is unacceptable and is considered a serious breach of professional conduct, with potentially severe ethical and legal consequences.

Equally important to the process of recognizing an act of plagiarism is clarifying who will be responsible for responding to any complaints of alleged plagiarism. The guidelines specify that the person responsible for the IEEE publication (referred to generally as “the editor”) shall be responsible for conducting an investigation and determining if plagiarism has in fact taken place. In order to accomplish this critical task, the editor shall also appoint an independent committee of experts on the subject to help make a recommendation on the allegation. Emphasis is placed on the “independence” of the committee, in that the editor cannot be directly involved with the committee’s investigation.

Of particular note are the guidelines for cases involving papers from IEEE conference proceedings. Allegations of misconduct by authors of papers in conference proceedings shall be investigated by the conference publication chair, or by the publication officer of the IEEE organizational unit that sponsored the conference if the allegation is made after the publication of the proceedings.

Editors must also bring these efforts to the attention of the Vice President of the Publications Services and Products Board, both at the beginning of an investigation and after findings have been reached for final approval.

Multiple Submissions:

As described in Section 8.2.1.B.9, authors should only submit original work that has neither appeared elsewhere for publication, nor which is under review for another refereed publication. Multiple submission is defined as a given manuscript being concurrently under active consideration by two or more publications. It is at the discretion of each IEEE Organization Unit whether or not to allow multiple submission. Authors shall inform editors of multiple submissions of manuscripts. Authors in violation of these multiple-submission guidelines are subject to corrective actions.

a. At the time of manuscript submission, or during the review of a manuscript, the editor was not informed that the manuscript had been published.

    1. In this case, corrective actions that shall be taken are:

        (i) A formal warning to offending individual(s)

    2. In this case, corrective actions that may also be taken are:

        (i) Offending individual(s) prepare and submit apology to the publication editor

        (ii) Publication of the offending author’s apology.

    3. Discovery of a second offense shall result in:

        (i) Another formal warning to offending individuals stating that, if additional offenses are discovered, action a(4) shall occur

        (ii) Suspension of publication in the IEEE publication where the offense took place by the offending individual(s) for 1 year of the publication or, if appropriate, the next volume of the conference proceedings.

    4. An additional offense following action a(3) of Section 8.2.4.F.3 shall result in suspension of publication privileges in all IEEE Publications from 3 to 5 years as determined by Chair of the Publications Services and Products Board and rejection and return of all papers by the author(s) that are currently in review or in any IEEE publication’s queue (papers may be re-submitted after suspension term has expired).

b. Lack of disclosure to the editor by the author(s) that the manuscript is under active consideration by another publication. Individual publications can choose to either accept or reject outright concurrent consideration of manuscripts. Authors should be made aware of the publication’s policy on this matter.

    1. In case authors fail to inform the editor of other consideration of the paper, corrective actions that shall be taken are:

        (i) Offending individual(s) will be reminded that the practice is considered inappropriate scholarly practice, referred to Section 8.2.1.B.9 and Section 8.2.7, and notified that repeated offenses could result in correction actions as specified in 8.2.4.F.2.b.

    2. Discovery of a second offense shall result in:

        (i) Another formal warning to offending individuals stating that, if additional offenses are discovered, action a(3) of Section 8.2.4.F.3 shall occur

    3. An additional offense following action b(2) of Section 8.2.4.F.3 shall result in suspension of publication privileges in all IEEE Publications for 1 year and rejection and return of all papers by the author(s) that are currently in review or in any IEEE publication’s queue (papers may be re-submitted after suspension term has expired).

 

Proposed corrective actions related to level a(4) or b(3) of Section 8.2.4.F.3 shall be approved by the Chair of the IEEE Publication Services and Products Board.
